Chapter Secretary 

Position Description 

The Chapter Secretary is elected by the members of the Chapter in accordance with the National Constitution and Bylaws and Chapter Bylaws and is responsible and accountable to the Chapter President and the Chapter Executive Board for the Chapter’s official records.



The Chapter Secretary is empowered and authorized to maintain the official records of all Chapter activities except for financial affairs.  In the absence or incapacity of the Chapter President and Chapter Vice President, the Chapter Secretary may assume authority, duties and responsibilities of the Chapter President.


Duties and Responsibilities

Subject to the Chapter Bylaws, maintain the official records of the Chapter including:

  • Minutes of each Chapter Executive Board Meeting.
  • Minutes of each Chapter membership meeting.
  • Each official report of the Chapter.
  • Current Chapter roster of members.
  • Current guest and prospects lists, as directed.
  • Accurate property accountability and location records of all Association assets in the custody or possession of the Chapter. 

In addition to the above record keeping, the Chapter Secretary shall perform the following, unless otherwise delegated by the Chapter Executive Board:

  • Ensure that all administrative requirements of the National Constitution and Bylaws are adhered to by all officers of the Chapter.
  • Obtain supplies and property if authorized.
  • Serve as the administrative contact with the National and Regional officers.
  • Provide all pertinent reports to the National and Regional officers in timely manner.
  • Maintain the Chapter historical records.
