Region Committees

Committees are a good way to involve members in the activities of a Region.  The following is a list of committees that a Region can utilize to promote interest, growth, leadership, mentoring, and assistance.   The Region Vice President may not need all committees listed or may have additional committees to meet the needs of the Chapters and members.  The Region Vice President appoints the Chairperson of each committee.  The Chairperson of the respective committee will appoint members.

Awards Committee

Position Description

The Awards Committee is responsible for soliciting petitions and nominations for Chapter of the Year and Property Person of the Year from the Region’s chapters.  The Awards Committee serves to maintain the Region’s awards program and provides assistance on current awards and possible new awards.

 

Duties and Responsibilities
  • Interpret current awards and select individual awardees and nominees.
  • Provide advice and assistance to the Region Officers.
    • If tasked, analyze the need for new or improved region awards and development, and budgetary impact.
    • Periodically review the NPMA awards program and Region awards program and submit results to the Region Vice President.
  • Attend or provide written report at all Region meetings.
Chapter of the Year
  • Receive the chapter petitions for the Region Chapter of the Year.
  • Review and select a Region Chapter of the Year using the NPMA criteria. 
  • The winning chapter will be the Region Chapter of the Year and the runner-ups are recognized as Outstanding Chapters of the Year.
  • The Region Chapter of the Year petition is forwarded to the NPMA Director of Awards. Each Region Chapter of the Year is in competition for the NPMA Chapter of the Year.
Property Person of the Year
  • Receive the chapter nominations for the Region Property Person of the Year. 
  • Review and select a Region Property Person of the Year using the NPMA criteria.
  • The winning member will be the Region Property Person of the Year and the runner-ups are recognized as Outstanding Region Property Persons of the Year. 
  • The Region Property Person of the Year is forwarded to the National President for selection as the National NPMA Property Person of the Year.  Each Region Property Person of the Year competes for the National NPMA Property Person of the Year.
Schedule of Duties
  1. Notify region chapters to submit their petition for Region Chapter of the Year and nomination for Region Property Person of the Year at least 120 days prior to the annual NPMA NES.
  2. Remind the region Chapters to submit to the awards committee their petitions and nominations 60 days prior to the annual NPMA NES.
  3. Review and select the winners of both awards and FORWARD them to the National President and the NPMA Director of Awards respectively, NO LATER THAN 45 DAYS prior to the annual NPMA NES.
  4. Thirty (30) days prior to the annual Region Board of Delegates meeting, submit to the Region Vice President a program plan and budget request for the upcoming year.  Send a courtesy copy to the Region Treasurer.
  5. Provide a written report of the activities and achievements to the Region Vice President and Region Board of Delegates for each meeting.
  6. Submit a summary report (year ending) of this committee to the Region Vice President.
  7.  Turn over all reports and records to the new committee Chairperson within 30 days of the new appointment.



 

Membership/Retention Committee

Position Description

Assist Chapters in achieving steady growth of new members.  Inform new members of the opportunities within NPMA.  Responsible for region membership drives.  Ensure retention of current members.

Duties and Responsibilities
  • Plan, organize, and implement a program for recruiting new chapters and new members in existing chapters.
  • Obtain and maintain current information on eligible prospective members within the region.  Contact the nearest chapter to the prospective member for chapter contact.  Follow up in two (2) weeks with chapter.
  • Maintain a data base of new members (name, address, phone, employer, email) from National Office.  Keep information updated.
  • Email, telephone/correspond with members not attending meetings regularly to determine their interests, solicit their assistance and suggestions to meet their interests.
  • Present information obtained from above members to Region Vice President and Vice President Membership.
  • Seek information, achievements and promotions of members to publicize through the Region Editor. 
  • Respond timely to all correspondence and deadlines.
Schedule of Duties
  1. Thirty (30) days prior to the annual Region Board of Delegates meeting, submit to the Region Vice President a program plan and budget request for the upcoming year.  Send a courtesy copy to the Region Treasurer.
  2. Provide a written report of the activities and achievements to the Region Vice President and Region Board of Delegates for each meeting.
  3.  Submit a summary report (year ending) of this committee to the Region Vice President.
  4. Turn over all reports and records to the new committee Chairperson within 30 days of the new appointment.

 


 


Parlimentary Procedures/Bylaws CommitteE

Position Description

Review or recommend proposed changes to the Region Bylaws.  Initiate amendments and changes for voting at a Regional Board of Delegates meeting.  Review proposed changes to Region Chapter Bylaws.  Advise the Region Vice President as needing during Region meetings.

 

Duties and Responsibilities
  • Review Region and Chapter bylaws, special rules of order, and standing rules for continuity with NPMA National Bylaws and Robert’s Rule of Order, current edition.
  • Consider, edit, and/or correlate all proposed amendments to the Region Bylaws, submitting them with the committee recommendations according to the Region Bylaws.
  • Distribute the proposed amendments of the Region bylaws to Region Delegates prior to the Regional meeting where they will be voted on.
  • Forward the new/revised Region Bylaws to the Vice President Parliamentary Procedures for approval.
  • Forward reviewed new/revised Chapter Bylaws to the Vice President Parliamentary Procedures for approval.
  • Prepare a current copy of the Region Bylaws for publication and distribute to Chapter Presidents and Delegates when needed.  This can be sent by email or published on the Region web page.
  • Advised the Region Vice President on parliamentary procedures during Regional meetings.
Schedule of Duties
  1. Review one half of the Region’s Chapter bylaws yearly.
  2. Sixty (60) days prior to the Region Board of Delegates meeting, provide Region Bylaw changes to the Chapter Presidents and Delegates.
  3. Ninety (90) days prior to the annual NPMA Board of Delegates Meeting, provide any National Bylaw changes to the NPMA Parliamentary Advisor.
  4. Provide a written report of the activities and achievements to the Region Vice President and Region Board of Delegates for each meeting.
  5. Submit a summary report (year ending) of the committee’s work to the Region Vice President.
  6. Turn over all reports and records to the new committee Chairperson within 30 days of the appointment.
